Switch IT Provider Toronto | CG Technologies
Switching IT providers

Unhappy with your IT company?
Switching is simpler than you think.

The biggest reason GTA businesses stay with an underperforming MSP is fear of disruption. Here's the reality: a well-managed transition causes less disruption than staying with a provider that's letting you down every month.

Signs it’s time to make a change

If you recognise more than two of these, the question isn’t whether to switch — it’s how to do it cleanly

  • Response times have slipped. Tickets that used to get resolved in an hour now take a day. Or you've started chasing your MSP for updates rather than the other way around.
  • You don't know what you're paying for. The monthly bill is predictable but the service isn't. Things break, invoices appear for work that sounds like it should have been included, and nobody explains why.
  • Security has been an afterthought. Your MSP monitors your systems but can't tell you what EDR platform they use, when you last had a vulnerability assessment, or what would happen if ransomware hit tomorrow morning.
  • You've outgrown them. They were a good fit when you had 10 people. You now have 40 and their team, tools, and processes haven't scaled with you. Complex projects get delayed or deprioritised.
  • The relationship feels transactional. Nobody from your IT company knows your business. You explain the same context every call. There's no strategic input, just ticket resolution.
  • You've been acquired or merged. A new parent company bought your MSP and service quality dropped. The people you knew left. The new team doesn't know your environment.

The concerns we hear most often

Every business we’ve onboarded had at least one of these worries before they switched. Here’s the honest answer to each.

What if there’s a gap in coverage during the switch?
There won’t be. We run a parallel period where both your outgoing and incoming provider are active simultaneously. CG takes over monitoring from day one of onboarding — you’re never uncovered. The transition to full management is phased, not abrupt.
What if our current MSP won’t cooperate with the handover?
This happens, and we’ve handled it before. We document your environment independently during our discovery phase. Most tools, credentials, and configurations can be recovered or rebuilt without the outgoing provider’s cooperation — it adds a little time, not risk.
What if we lose data or system access during the transition?
One of the first things we do is take a full environment backup before any changes. Your data is protected before we touch anything. We’ve transitioned over 120 client organisations — data loss during onboarding has never happened.
Will our staff have to learn a new way of getting IT help?
Minimally. Phone and email support channels stay familiar. We send a welcome guide to your team and make sure everyone knows how to reach us before the old provider is off the account. The first week includes extra on-site availability to answer questions.
How long will the transition take?
For most GTA businesses with 10–50 users, the full onboarding process takes 30–60 days. You’re actively supported from day one. The 30–60 day window covers complete environment documentation, tool deployment, and the parallel coverage period before we take full ownership.
Are we locked in if we switch to CG Technologies?
No. We operate on straightforward contract terms with no punitive exit fees. Our 95% retention rate comes from service quality, not contractual lock-in. If you want to leave, we’ll help you transition out cleanly — the same way we’d want to be treated ourselves.

How the switch works

Our onboarding process is documented, tested, and designed to make the transition invisible to your team

  • 1

Free assessment — no commitment required

We start with a conversation about your current environment, what’s working, what isn’t, and what you need from an IT partner going forward. No sales pressure. No obligation to proceed. If we’re not the right fit, we’ll tell you.

    Typically 45–60 minutes
  • 2

    Contract and notice period review

Before you sign anything with us, we help you review your existing MSP contract. We check notice periods, auto-renewal clauses, and exit terms so there are no surprises. Most GTA MSP contracts require 30–90 days notice.

Done before you commit to us
  • 3

    Network discovery and documentation

Our technical team maps your entire environment — hardware inventory, software licences, network topology, user accounts, cloud tenants, and existing security tools. This documentation becomes the foundation of your IT management with us. We do this work; your team doesn’t need to be heavily involved.

    Typically 5–10 business days
  • 4

    Parallel coverage period

CG begins monitoring and supporting your environment while your outgoing provider is still active. This overlap period — typically 2–4 weeks — eliminates any coverage gap. Your staff has two numbers to call, but in practice they start calling ours because response times are better from day one.

    Zero downtime, zero gaps
  • 5

    Full handover and tool deployment

We deploy our monitoring agent, security stack (Huntress, Bitdefender, Fortinet, Duo), and helpdesk integration across your environment. Passwords are rotated, old MSP access is revoked, and your documentation is finalised. Most of this happens remotely without touching individual workstations.

    Typically completed within 30 days
  • 6

    First 30-day intensive support period

The first month after full handover includes extra check-ins, faster response SLAs, and a dedicated account review at the 30-day mark. We use this period to identify anything the previous provider missed, resolve any outstanding issues, and establish your IT roadmap going forward.

    Enhanced support as standard

Frequently asked questions

Common questions from businesses considering switching IT providers

How do I know if it’s worth switching IT providers? +
If your current IT company is reactive rather than proactive, can’t name the security tools they use, or regularly surprises you with invoices for things that should have been included — those are clear signals. The real question is whether staying is costing you more (in lost time, downtime, and security exposure) than the transition would. In most cases, it is.
Can I switch if I’m locked into a contract? +
Possibly, yes. Before we proceed, we help you review your existing contract for notice periods, auto-renewal clauses, and early exit terms. Some contracts allow exit with 30–90 days notice. Others have fees for early termination. We’ll help you understand the cost of leaving now vs. waiting until the contract naturally expires, so you can make an informed decision.
Will my staff experience disruption during the switch? +
Minimal disruption is the goal, and in most cases your staff won’t notice the switch at all. The most visible change is a new support number and a welcome email from the CG helpdesk team. We send that before the old provider is removed from the account. During the first week we maintain extra on-site availability to handle any questions that come up.
What if our current MSP owns some of our systems or software? +
This is worth checking before you switch. Some MSPs use proprietary tools, monitoring agents, or licences that leave with them when you go. During our discovery phase, we identify everything in your environment and clarify what’s yours and what belongs to the outgoing provider. Anything that needs replacing, we plan and budget before the transition — no surprises.
How long have you been onboarding clients who are switching from another MSP? +
CG Technologies has been serving GTA businesses since 1996. We’ve onboarded clients switching from solo IT contractors, national MSP chains, and regional providers — including situations where the outgoing provider was uncooperative. Our onboarding process is documented and has been refined over decades of transitions.
Do you take on clients mid-contract with their current provider? +
Yes. We begin the discovery and assessment process while your current contract is still active, so the transition is ready to execute the moment your notice period expires. In some cases, the disruption of staying outweighs any early exit costs — we’ll help you run those numbers honestly.
